Privacy Policy

This policy explains what data Elobby (“we”, “the bot”, “the service”) collects, why, and what your choices are. It covers the Elobby Discord bot and the website at elobby.gg. By adding the bot to a server or signing in to the website, you agree to this policy.

1. Who we are

Elobby is a Discord bot and website that runs ranked custom games (any team size) with an ELO ladder, plus public leaderboards and a server-admin dashboard.

2. What we collect

We only collect what’s needed to run the ladder and show stats.

From Discord (the bot):

  • Discord IDs: your user ID, the server (guild) ID, and the channel / voice-channel / message IDs involved in a game.
  • Your public Discord profile: display name and avatar, cached so leaderboards and result cards render quickly.
  • Game data: which lobbies and matches you joined, your team, match results, and your ELO rating and its history.
  • Voice-channel presence: while a session is active we check who is in a game’s voice channels, only to manage and clean those channels up. We don’t build a log of your voice activity.
  • Server configuration: settings an admin sets (roles, channels, rank tiers, naming templates, etc.).

From the website (when you sign in):

  • We use Discord login (OAuth) with the identify and guilds scopes, so we can show your name, avatar, and the servers where you can use Elobby.
  • We store your Discord access and refresh tokensso your session stays valid. They’re used only to talk to Discord on your behalf and are never shared.
  • If you subscribe to Pro: your plan, subscription status, your payment processor’s customer and subscription reference IDs, and your billing period-end date. Your card details go directly to the processor; we never see or store them.

3. What we do NOT collect

  • No email addresses, phone numbers, or real-world identity.
  • No passwords. Login is handled entirely by Discord.
  • No card or bank details. If you subscribe, your card goes straight to our payment processor; we only store your plan and status.
  • No message content, DMs, or chat logs.

4. How we use your data

  • To run lobbies, build balanced teams, record results, and calculate ELO.
  • To render public leaderboards, profile cards, and the admin dashboard.
  • To keep voice channels tidy and sessions working.
  • To diagnose errors and keep the service running (see processors below).

We do not sell your data or use it for advertising.

5. Public visibility

Elobby’s leaderboards and player profiles are public. Your Discord display name, avatar, rank, and win/loss record for a server can be viewed by anyone with the link. This includes your history as told by the season recap, and your profile on each game ladder a server runs. Don’t use Elobby for a server if you don’t want that information to be publicly visible.

6. Who we share data with (processors)

We use a few service providers to operate Elobby. They process data only to provide their service to us:

  • Railway: hosts the bot and the database.
  • Vercel: hosts the website.
  • Sentry: error monitoring; events are scrubbed of identifiers before they’re stored.
  • Discord: the platform Elobby runs on; data flows to and from Discord by design.
  • Stripe: processes Pro payments and subscriptions. Your card details are handled by Stripe under its own privacy policy.

7. How long we keep data

  • Game and rating data is kept while Elobby is active in your server, so the ladder and history stay meaningful.
  • If the bot is removed from a server, or you ask us to delete your data, we remove the associated records.
  • Cached names and avatars refresh over time and aren't retained beyond their use.
  • Billing records for a Pro subscription may be kept longer where we need them for tax and accounting.

8. Your rights

You can ask us to:

  • Access the data we hold about you, or
  • Delete your player data (your rating and match records for a server).

To make a request, contact the Elobby support Discordfrom the Discord account in question (so we can verify it’s you). Server admins can also remove the bot to stop further data collection for their server. Deleting your player data doesn’t erase billing records we’re required to keep for tax and accounting.

9. Children

Elobby is not directed at children. You must meet Discord’s minimum age requirement (13+, or higher where required by local law) to use it.

10. Security

We take reasonable measures to protect your data. No online service can be guaranteed 100% secure, but we limit what we collect, don’t store sensitive information (no passwords, and no card details, which go to our payment processor), and scrub identifiers from error logs.

11. Changes to this policy

We may update this policy as Elobby changes. We’ll update the “Last updated” date above, and significant changes will be announced through our support channel. See also our Terms of Service.
