Privacy Policy

Elobby is a Discord bot and website that runs ranked custom games (any team size) with a skill-based ranked ladder, plus public leaderboards and a server-admin dashboard.

We only collect what’s needed to run the ladder and show stats.

From Discord (the bot):

• Discord IDs: your user ID, the server (guild) ID, and the channel / voice-channel / message IDs involved in a game.
• Your public Discord profile: your display name and avatar URL, stored alongside your ladder record so leaderboards, result cards and profiles render without re-fetching them every time. They refresh as your Discord profile changes.
• Your roles in the server: we check whether you hold a role the server’s admins have nominated as a host role (which decides who may start or report a game), and we add or remove the rank and award roles the server has mapped as your position on the ladder changes.
• Game data: which lobbies and matches you joined, your team, match results, your skill rating and visible LP, and the history of both, including archived standings for past seasons.
• Admin actions: a log of significant actions taken in your server (who reported or corrected a result, kicks, rank resets, configuration changes) so server owners can see what happened and when.
• Voice-channel presence: while a session is active we check who is in a game’s voice channels, only to manage and clean those channels up. We don’t build a log of your voice activity.
• Your play preferences: the platform you tell us you play on (PC or console, so we never drag a console player between voice channels and crash their game) and the in-game roles you prefer, so you don’t have to pick them again every night. You choose both, and you can change them at any time.
• Server configuration: settings an admin sets (roles, channels, rank tiers, naming templates, etc.).

From the website (when you sign in):

• We use Discord login (OAuth) with the identify and guilds scopes, so we can show your name, avatar, and the servers where you can use Elobby.
• Your Discord access and refresh tokens are kept in your own encrypted session cookie so your session stays valid. They are used only to talk to Discord on your behalf, are never shared, and are not stored in our database.
• Basic site analytics: we count page views on elobby.gg and a few actions (for example pressing a share button) to see which parts of the site are used. This is cookieless and does not follow you across other sites. Discord IDs are stripped out of the page address before it is ever sent, so a profile page is recorded as a page shape, not as you.
• Images you upload (admins only): rank crests and season banners you choose to upload are stored by our file-storage provider and served from a public URL, because the bot and the public leaderboards have to be able to fetch them.
• If you subscribe to Pro: your plan, subscription status, your payment processor’s customer and subscription reference IDs, and your billing period-end date. Your card details go directly to the processor; we never see or store them.

• No email addresses, phone numbers, or real-world identity.
• No passwords. Login is handled entirely by Discord.
• No card or bank details. If you subscribe, your card goes straight to our payment processor; we only store your plan and status.
• No message content, DMs, or chat logs. Elobby does not use Discord’s Message Content intent and cannot read what you write in your server. The one exception is text you deliberately hand us: if you win a season and choose to write a champion’s speech, we store it and show it publicly (a server admin can hide it).

• To run lobbies, build balanced teams, record results, and update ratings and LP.
• To render public leaderboards, profile cards, and the admin dashboard.
• To keep voice channels tidy and sessions working.
• To diagnose errors and keep the service running (see processors below).
• To count page views and a few actions on the website, so we can see which parts of it are actually used.

We do not sell your data or use it for advertising.

Elobby’s leaderboards and player profiles are public. Your Discord display name, avatar, rank, and win/loss record for a server can be viewed by anyone with the link. This includes your history as told by the season recap, your profile on each game ladder a server runs, a champion’s speech if you write one, and any crest or season banner an admin uploads. Don’t use Elobby for a server if you don’t want that information to be publicly visible.

We use a few service providers to operate Elobby. They process data only to provide their service to us:

• Railway: hosts the bot and the database.
• Vercel: hosts the website, stores images admins upload (rank crests and season banners), and provides the cookieless page-view analytics described above.
• Sentry: error monitoring. Discord IDs and our own secrets are redacted from error reports before they’re stored, and a report that can’t be redacted is dropped rather than sent. A report may still contain the Discord username and server name involved, because that is what lets us trace a bug back to the session it broke.
• Discord: the platform Elobby runs on; data flows to and from Discord by design.
• Stripe: processes Pro payments and subscriptions. Your card details are handled by Stripe under its own privacy policy.

• Game and rating data is kept while Elobby is active in your server, so the ladder and history stay meaningful.
• If the bot is removed from a server, that server's public pages stop working immediately, and its data is deleted after 90 days.
• The 90-day window exists so an accidental removal, a server rebuild or a quiet off-season doesn't destroy a community's ladder: re-add Elobby inside it and everything comes back exactly as it was. After the window, the records are permanently deleted.
• If you ask us to delete your data, we remove the associated records.
• Your display name and avatar are stored alongside your ladder record and refresh as your Discord profile changes; they're removed with that record.
• Images an admin uploads (crests, season banners) stay until they're replaced or the server's data is removed.
• Billing records for a Pro subscription may be kept longer where we need them for tax and accounting.

You can ask us to:

• Access the data we hold about you, or
• Delete your player data (your rating and match records for a server).

To make a request, contact the Elobby support Discord from the Discord account in question (so we can verify it’s you). Server admins can also remove the bot to stop further data collection for their server. Deleting your player data doesn’t erase billing records we’re required to keep for tax and accounting.

Elobby is not directed at children. You must meet Discord’s minimum age requirement (13+, or higher where required by local law) to use it.

We take reasonable measures to protect your data. No online service can be guaranteed 100% secure, but we limit what we collect, don’t store sensitive information (no passwords, and no card details, which go to our payment processor), and scrub identifiers from error logs.

We may update this policy as Elobby changes. We’ll update the “Last updated” date above, and significant changes will be announced through our support channel. See also our Terms of Service.
